Concepts & Definitions

The Asset Register is the central record of every fixed asset owned by the organisation. Each record tracks an asset from acquisition through its useful life to disposal, capturing the acquisition cost, depreciation method, accumulated amortisation, net book value, location, and responsible staff member. The register drives the depreciation schedule and provides the source data for fixed asset notes in the financial statements.

How To

Add an Asset to the Register

Navigate to Admin → Asset Management → Asset Register.

  1. Click New.
  2. Select the Asset Group and, if applicable, a Parent Asset (for tracking components).
  3. Enter the Code, Asset Name, and Initiate Date.
  4. Select the Acq. Company and Source (Purchase is the default).
  5. Set the Value Date, Currency, and Invoice Amount. For purchases, select the Vendor.
  6. Set the Amort Type, Amort Factor, and Residual Value.
  7. On the Acquisition sub-tab, assign the asset to a Location, Unit, Cost Centre, and Staff member responsible.
  8. Click Save, then Initiate to activate the asset.

Run Depreciation

From the list or an individual asset record, click Depreciate to process a single period’s charge. Use Depreciate All from the list to batch-process all eligible assets.

Results appear on the Amortisation sub-tab (Amort Date, Amort Value, Post Id) and the Aging Policy sub-tab (Accumulated Amort, Net Book Value).

To reverse a depreciation run within the same period, use Undepreciate or Undepreciate All from the overflow menu.

Dispose of an Asset

Select the asset and click Discard. In the disposal modal:

  1. Enter the Disposal Date, Disposal Amount (sale proceeds; 0 for write-off), and Disposal Cost.
  2. Enter Capital Gains Tax if applicable, and a Disposal Cheque reference if paid by cheque.
  3. Select the Disposal Account (GL account to receive proceeds).
  4. Click Confirm.

The system removes the asset’s cost and accumulated amortisation from the balance sheet and posts the gain or loss to the Profit/Loss account configured for the asset group.
