Maintenance Jobs
Concepts & Definitions
Maintenance jobs record individual service activities performed on registered assets. Each job captures what work was done, when, by which vendor, and whether the work was scheduled, corrective (triggered by a fault), or an enhancement that improves the asset’s value. Jobs that enhance the asset can be flagged to trigger revaluation, capitalising the cost rather than expensing it.
Recurring maintenance work is configured in Maintenance Schedules, which automatically generates jobs at the defined interval.

| Is Scheduled | A planned, preventive maintenance activity (as opposed to a reactive repair) |
| Is Corrective | An unplanned repair triggered by a fault or breakdown |
| Is Enhancement | The work improves the asset beyond its original condition |
| Causes Revaluation | The maintenance cost is capitalised — added to the asset’s carrying value rather than expensed |
| Withholding Tax | Tax deducted at source from the vendor’s invoice |
How To
Log a Maintenance Job
Navigate to Admin → Asset Management → Maintenance Jobs.

- Click New.
- Select the Asset the work was performed on.
- Select the Vendor (the contractor or service provider, if applicable).
- Set the Request Date and Maint Date.
- Enter a Description of the work carried out.
- Check the appropriate type flags: Is Scheduled, Is Corrective, Is Enhancement.
- Check Causes Revaluation if the work increases the asset’s value.
- Enter Withholding Tax amounts if applicable.
- Click Save, then Post to finalise and post the GL entry.

Posted maintenance jobs appear in the asset’s maintenance history visible on the Maint. Schedule sub-tab within the Asset Register.
