Maintenance Schedule

Concepts & Definitions

Maintenance schedules define recurring preventive maintenance plans for specific assets. Rather than creating individual maintenance jobs manually, a schedule generates them automatically at the configured frequency — whether monthly, quarterly, annually, or based on the asset’s operating hours or mileage. The system uses the schedule to trigger reminders and to create maintenance job records when a maintenance interval falls due.

Schedule TypeThe frequency period — Monthly, Quarterly, Annual, etc.
Execute OnThe day within the period on which the maintenance falls due (e.g. the 1st of each month)
IntervalThe number of schedule periods between maintenance events (e.g. every 3 months)
Preferred VendorThe default service provider for this scheduled activity
Inventory ItemA consumable or spare part required for the maintenance activity
Meter ReadingsUsage readings (hours, kilometres, cycles) attached to the schedule for meter-triggered intervals

How To

Create a Maintenance Schedule

Navigate to Admin → Asset Management → Maintenance Schedule.

  1. Click New.
  2. Enter the Code and Maint No reference.
  3. Select the Asset this schedule applies to.
  4. Set the Start Date and, optionally, select the Preferred Vendor and Inventory Item.
  5. Enter a Description of the maintenance activity.
  6. Set the Trigger Type — Lifetime for calendar-based, or Meter for usage-based schedules.
  7. Configure the Schedule section: Life (number of periods), Type (Monthly/Quarterly/Annual), Execute On (day), and Interval (frequency).
  8. If using meter-based triggers, add Meter Readings on the sub-tab.
  9. Click Save, then Approve to activate the schedule.

Once active, the schedule generates maintenance job reminders based on the configured interval. Use Copy to duplicate a schedule for a similar asset.
