Concepts & Definitions

Vendor Case Management tracks support or administrative cases raised against specific vendors. A case is created whenever an issue requires tracked resolution — for example, a disputed invoice, a delivery claim, a quality complaint, or an account query. Cases are logged with the vendor, subject, and context, then routed through an approval and closure workflow with notes and documentation attached.

How To

Create a Vendor Case

Navigate to VRM → Vendor Admin → Case Management.

  1. Click New.
  2. Select the Vendor the case is being raised against.
  3. Select the Case Type and Channel.
  4. Set the Lodge Date and enter the Subject.
  5. Add Notes on the Notes sub-tab describing the issue in detail.
  6. Attach supporting documents (correspondence, invoices, photos) on the Documentation sub-tab.
  7. Click Save, then Send to initiate the resolution workflow.

To close a resolved case, click Close and add a resolution note. Use Invalidate to void a case that was created in error.
